Administrative Specialist
We are a fast-growing Chicago-based pet care company seeking a detail-oriented Administrative Specialist to join our Roscoe Village office team. This is a hands-on, fast-paced role supporting daily operations, client communication, and scheduling for a large team of field professionals.
The ideal candidate is organized, calm under pressure, and takes pride in accuracy and follow-through. You will work closely with the office team to coordinate schedules, assist clients, manage administrative tasks, and help ensure a smooth experience for both clients and staff. Location & Schedule
- Based in Roscoe Village
- Must live within 10 miles of Belmont & Damen and have your own car
- Monday–Friday, 9:00am–5:00pm
- Participation in rotating evening, weekend, and holiday on-call coverage required
- Occasional extended hours during peak-demand periods
Key Responsibilities
- Manage scheduling requests using Time To Pet
- Respond to client inquiries and billing questions
- Support onboarding of new clients, including virtual and in-home meet-and-greets
- Communicate with field staff regarding schedule changes
- General office and administrative support
Requirements
- Prior administrative or operations experience in a small business environment
- Excellent phone, email, and business writing skills
- Strong attention to detail and accurate data entry skills
- Ability to multitask and prioritize effectively
- Proficiency with Google Docs and Google Sheets; comfort learning new software
- Minimum typing speed of 25 WPM (30+ preferred)
Compensation & Benefits
- Salary: $32,000–$40,000 annually, depending on experience
